| Formula | Meaning |

| Absence Rate = (Total Absence Days / Total Scheduled Workdays) x 100 | Share of scheduled workdays lost to absence |
An Absence Rate Calculator helps you track missed workdays with ease. It shows how much work time your team loses to absence. You only need three values to get your result.
Our free absence rate calculator for work helps HR teams, managers, and business owners check staff attendance. Use it to track daily or monthly absences and spot trends over time.
An absence rate shows the share of planned workdays lost to absence. A high rate may point to staff issues, poor health, or work stress. Regular checks can help you plan shifts and manage your team.
The absence rate formula is simple:
Absence Rate (%) = (Total Absence Days ÷ Total Scheduled Workdays) × 100
To find total scheduled workdays, use this formula:
Total Scheduled Workdays = Number of Employees × Workdays per Employee
For example, if 20 staff members each had 22 planned workdays, the total is 440 workdays. If they missed 22 days, the absence rate is 5%.
Follow these five steps to get your result.
Enter the number of employees. Add the total staff count for your team.
Enter scheduled workdays. Add the workdays planned for each staff member in your chosen period.
Enter total absence days. Count the workdays lost to absence.
Click Calculate. The tool checks your values and works out the rate.
Review your result. Check the rate and the totals used in the formula.
Use data from the same time span for a fair result. Do not count weekends or holidays unless staff were due to work on those days.
Suppose a company has 50 employees. Each person had 22 planned workdays in one month. The team lost 55 workdays to absence.
First, find the total planned workdays:
50 × 22 = 1,100 workdays.
Next, apply the absence rate formula:
(55 ÷ 1,100) × 100 = 5%
The monthly absence rate is 5%. This means the team lost 5 out of every 100 planned workdays to absence.
To track daily absences, count the workdays lost on that day. Then divide that total by the workdays planned for the same day. Multiply by 100 to get the daily rate.
For example, if 4 out of 80 planned workdays are lost, the daily absence rate is 5%. For a fair monthly absenteeism rate formula, use the full month's totals.
An absence rate helps you see how often staff miss planned work. Use our Absence Rate Calculator to get a quick result with a simple formula. Track rates over time to spot trends and plan staff needs. Keep your workday totals clear for accurate results.
Divide total absence days by total scheduled workdays. Then multiply by 100 to get the rate as a percentage.
Divide days attended by total scheduled workdays, then multiply by 100. If attendance and absence cover the same days, attendance rate is 100% minus absence rate.
Count the scheduled workdays you missed during the period. Do not count days off when you were not due to work.
Use total absence days for the month, divided by total scheduled workdays for that month, times 100.
